Inside Sales & Estimating Coordinator
Full-Time | Onsite | Santa Maria, CA
Full-Time | Onsite | Santa Maria, CA
About the Role
Signs of Success is looking for an organized, sales-minded Inside Sales & Estimating Coordinator to help move customer opportunities from initial inquiry through approved order.
This role combines direct inside sales responsibility with sales support for our account managers and designers. Depending on the customer and project, you may manage the sales process yourself or work alongside another team member to keep pricing, customer communication, follow-up, approvals, and next steps moving.
You will gather project information, prepare estimates, communicate with customers, follow up on open opportunities, and help make sure work does not stall between inquiry, design, pricing, production, pickup, billing, and payment.
You will start with established pricing tools and support on more complex work. As your product knowledge and judgment grow, you will take on more independent pricing, customer relationships, and sales responsibility.
What You’ll Do
- Manage assigned sales opportunities from initial inquiry through quote, follow-up, approval, and handoff.
- Support account managers and designers by preparing estimates, gathering information, following up with customers, and coordinating next steps.
- Serve as the primary sales contact for appropriate smaller and straightforward projects.
- Gather project details including measurements, photos, files, quantities, deadlines, site information, and customer requirements.
- Prepare simple to moderately complex estimates using established pricing, drawings, measurements, product knowledge, and guidance when needed.
- Review open quotes and opportunities regularly and proactively identify what needs to happen next.
- Follow up with customers to answer questions, understand obstacles, and move opportunities toward a decision.
- Coordinate with designers when concepts, revisions, technical information, or customer decisions are needed.
- Recognize when a project needs help from an account manager, designer, estimator, or owner and bring them in without losing track of the follow-through.
- Look for practical upgrades, alternatives, or add-on opportunities that improve the customer’s project.
- Maintain organized customer records, quote information, approvals, job documentation, and order paperwork.
- Support will-call, customer pickups, payment collection, and light front-office coverage.
- Help ensure completed work is properly tracked, billed, and closed out.
Who Thrives Here
- You enjoy customer interaction and practical problem-solving.
- You are organized and naturally keep track of open commitments.
- You follow up without needing repeated reminders.
- You are comfortable asking questions and taking initiative.
- You like seeing opportunities move from “interested” to “approved.”
- You can balance sales urgency with accuracy and good judgment.
- You are interested in learning products, pricing, job scope, and cost.
- You can handle interruptions without losing track of your priorities.
Growth Path
This is an inside sales role with room to grow into greater pricing authority and account ownership.
As you learn our products, materials, pricing, and common project types, you can progress from established-price quoting and smaller opportunities into independently scoping, pricing, and managing larger sales and customer accounts.
Preferred Background
- 1–3+ years in sales, customer service, estimating support, order coordination, account support, or a similar role.
- Experience preparing quotes, estimates, proposals, invoices, work orders, or customer orders is helpful.
- Comfort with spreadsheets, CRM systems, accounting or order-management software, and cloud-based tools.
- Experience in construction, manufacturing, design, printing, signage, or another project-based business is a plus.
Previous sales experience is helpful but not required. We can teach signage and pricing. We need someone who is organized, commercially minded, willing to follow up, and interested in taking increasing ownership of sales.
